What is an operational module?

At Sabentis, we call the tools that the occupational health and safety technician or manager uses daily to assess, inspect, record, and resolve issues ” operational modules .” These modules are activated based on the existing organizational structure and roles.

Recommended activation order

Don’t activate all modules at once. Phased activation reduces the adoption curve and avoids the noise of massive notifications during startup.

1

risk assessment

It’s the foundation. It generates the risk inventory by position and center, which feeds into the rest.

2

Inspections

It allows you to close the loop: detect findings and turn them into traceable measures.

③

Incidents

Collect accidents, near misses, and observations for investigation and learning.

④

Documented information

Centralizes procedures, instructions, and records with versioning and signature.

Activate risk assessment

  1. Go to Settings > Modules > Risk Assessment.
  2. Select the methodology (IER, IPER or another available in your plan).
  3. Define the probability and severity matrices.
  4. Indicate which centers are included in the initial scope.
  5. Assign the technicians responsible for each center.
  6. Activate the module and notify the technicians of the activation.
💡 Good practiceStart with a single pilot center. Learn from it for 2–4 weeks and then replicate it to the rest.

Activate inspections

  1. Go to Settings > Modules > Inspections.
  2. Create or import the checklists that your organization will use.
  3. Define the frequency and those responsible for each type of inspection.
  4. Configure the action flow: responsible party, deadline, validation.
  5. Activate the module.

Activate incident management

  1. Go to Settings > Modules > Incidents.
  2. Define the categories (accident, near miss, safety observation).
  3. Configure the investigation workflow: who records, who investigates, who validates.
  4. Activate the reporting channel for workers from the Worker Portal.

Activate documented information

  1. Go to Settings > Modules > Documented Information.
  2. Define the taxonomy of folders (procedures, instructions, records, evidence).
  3. Activate versioning and digital signatures if your plan includes them.
  4. Assign maintenance personnel by category.
📌 RememberEach activated module triggers notifications to affected users. Notify the team before activating to avoid surprises.

Frequently Asked Questions

Which modules should be activated first during onboarding?
Organizational structure, functions and responsibilities, documented information, and the main operational modules according to the user’s role. The rest is activated in phases.
Can I activate a module for only one center?
Yes. Most modules allow you to define the scope by center or location when activated.
What happens if I disable a module later?
The data isn’t lost, but the module is hidden from users. You can reactivate it whenever you want, and the information will be available again.
Do the available modules depend on the plan purchased?
Yes. Every Sabentis plan includes a set of modules. Check your plan or contact your Customer Success Manager to add additional modules.
